Your agency’s brand should not be an afterthought. Having a clear tone, voice, and agency story makes you memorable and easy to refer.
Let me start things off by acknowledging what every agent reading this article may be thinking: “I didn’t get into insurance to worry about my brand. I got into the business to help people.”
I hear that; I get it. I’m here to explain, however, that building your agency’s brand is actually a vehicle to getting your business into a reliable position to do exactly what you set out to do when you got into the industry: connect with people who can count on you.
Your agency’s brand is not just a logo and complimentary colors. It’s not the font on your business cards. A brand extends to every piece of content you put out that helps bring to life your agency’s story.
Branding is the little things, too. The way you treat people during a claim, the way you follow up throughout the year, these service touchpoints become what your clients know you for–that’s why agency branding is one of the ultimate trust signals.
New clients come in the door because of what your agency projects online, as well as the image you uphold to your clients when their family and colleagues get to know you after a referral.
The key ingredients to bring your agency brand to life.
When thinking of your agency’s brand, beyond the visuals, we can break things down into three key ingredients that you should focus on defining and refining. And, yes, I couldn’t resist a baking theme.
- Voice. Your agency’s voice is the bedrock of your brand. Ask yourself, “Am I leaning into education? Am I a bit more easygoing?” The voice of your agency starts with writing out a few adjectives you’d use to describe your business.
- Service. The way you make clients feel from sign-up to claim, at renewal, and during touchpoints throughout the year, is an unsung part of your brand. This is the meat of what existing clients will say about your agency, so it’s important to align your service standards with your voice.
- Consistency. Figuring out the details of your brand is only the beginning. You’ll need to spend time ensuring your marketing aligns with your defined brand after you’ve put things together. Remember: consistency in tone is a huge trust signal for prospects.
How does an agency make each branding ingredient sing?
Each of the three ingredients–voice, service, and consistency–requires some time spent thinking and jotting down ideas to help serve your business.
Starting with your agency’s voice, my best recommendation is to write down three adjectives that you would use to describe your business. Then, write down three adjectives you would hope a client uses to describe you during a referral. Between those six words, you have the beginnings of your brand voice.
Once you’ve completed your adjective exercise, you may have a list that looks something like this:
- Consultative.
- Compassionate.
- Proactive.
- Knowledgeable.
- Friendly.
- Professional.
Save those words for later, because I’ll be showing you a single prompt you can use inside your AI tool of choice to help build a simple brand guide you can edit and tailor to your agency.
Next up, think about the service experience you provide. Write down three words that would describe you or your service team. There’s going to be some overlap between the words you use to describe your service, and the words you’re hoping a client uses to describe you! That’s the point. You want these things to be aligned so you’re providing a consistent narrative for your business.
After you’ve thought about your agency from the perspective of your clients, you should have a list of words similar to this one:
- Empathetic.
- Patient.
- Timely.
- Reassuring.
- Conscientious.
- Prepared.
Put all of your words together into one document–somewhere you can easily copy and paste them–so you can refer to these as your north star adjectives whenever you’re thinking about creating content for your agency. Consistency comes from handy reminders like these. This list also helps get your entire agency on board, not just with your messaging, but with the way your service should make clients feel. Brand voice helps everyone keep your mission top of mind.

Defining the essence of your agency’s voice and service standards is the ticket to getting your AI tools to help you build a solid brand. A good rule of thumb is to spend more time editing the document than you’d expect someone reading it.
If you’re struggling with your AI tool not giving you exactly what you’re looking for, I also recommend adjusting the prompt to include an example of what not to include. You can add a sentence like, “Our agency doesn’t…” and fill in the gap with key words that don’t align with your brand vision.

- Open up your AI tool and copy and paste in your brand’s voice guidelines, along with a few Dos and Don’ts. Don’t hit send just yet!
- Copy and paste in the following prompt: “Use the brand guidelines in this message and write a blog about [insurance topic].” Click send after you’ve filled in your topic.

Just like with your brand guidelines, make sure you’re reading, reviewing, editing, and sharpening up your AI drafts.
Your brand is not just there to get engagement online. It’s meant to help create a sense of cohesion that breaks the barrier of getting people into the door and experiencing your fantastic service. Marketing can seem tedious, even with tools and automations, but once you get your engine running, you’ll see compounding results.
